Privacy Policy

1. What We Collect

Essentia collects the following data to provide its core functionality:

• Account information: Email address and authentication credentials (via Firebase Authentication)
• Conversations: Messages you send to the AI assistant, including text and voice transcriptions
• Extracted data: Facts, preferences, tasks, notes, reminders, and people mentioned in your conversations
• Calendar data: Google Calendar events, only when you explicitly connect your calendar
• Device information: FCM device tokens for push notifications, device timezone

2. How We Use Your Data

Your data is used exclusively to provide Essentia's features:

• Building and maintaining your personal knowledge base
• Generating insights, summaries, and reminders
• Powering contextual, memory-augmented conversations
• Sending push notifications for reminders, check-ins, and summaries
• Syncing calendar events for day planning

We do not sell, share, or use your data for advertising. Your data is never used to train AI models.

3. Third-Party Services

Essentia uses the following third-party services:

• Supabase: Database hosting (PostgreSQL)
• Upstash: Redis for caching and rate limiting
• OpenRouter: AI language model API
• Jina AI: Text embeddings for semantic search
• Groq: Voice transcription
• Firebase: Authentication and push notifications
• Google Calendar API: Calendar integration (optional)
• Railway: Backend hosting

Each service processes data according to their own privacy policies.

4. Data Storage & Security

• Data is stored in a Supabase-hosted PostgreSQL database
• Passwords are hashed with bcrypt (cost factor 12)
• Authentication uses JWT tokens with short-lived access tokens
• Google Calendar tokens are encrypted at rest
• All communication uses HTTPS/TLS encryption

5. Data Retention

Your data is retained as long as your account is active. When you delete your account, all data is permanently and irreversibly deleted.

6. Your Rights

• View your data: All stored data is visible in the app
• Delete individual items: Delete notes, tasks, reminders, or facts from the app
• Delete your account: Settings > Delete Account permanently removes everything
• Disconnect integrations: Revoke Google Calendar access at any time

7. Children

Essentia is not intended for users under 13. We do not knowingly collect data from children.

8. Changes

We may update this policy. Changes will be reflected in the "Last updated" date. Continued use constitutes acceptance.
